Licenses and GEMA

The hirer bears sole responsibility for fulfilling all statutory reporting obligations and obtaining the necessary permits. He is obliged to duly register the event with GEMA. Prior to the event, the Lessor may demand proof of the aforementioned registrations and permits as well as the GEMA registration and payment of the GEMA fees.

Cancellation fees

If the customer withdraws from the contract for a reason for which Konzil Restaurant & Event GmbH is not responsible, the following flat rates shall apply instead of a specifically calculated compensation:

  • After signing the contract up to 1 year before the start of the event: € 500.00 processing fee
  • 1 year to 9 months before the start of the event: € 500.00 processing fee plus 100% of the provision costs for the rented premises
  • 9 to 3 months before the start of the event: € 500.00 processing fee plus 100% of the costs of providing the premises and 30% of the calculated food turnover (number of persons × menu price, alternatively the cheapest 3-course menu)
  • 3 months to 29 days before the start of the event: 30 % of the calculated total net amount
  • 28 to 8 days before the start of the event: 40 % of the calculated total net amount
  • 7 to 4 days before the start of the event: 60 % of the calculated total net amount
  • 3 to 2 days before the start of the event: 90 % of the calculated total net amount
  • 1 day before / on the day of the event: 100 % of the calculated total net amount

The basis for calculation is the minimum number of persons specified in the event agreement (VV) plus statutory VAT. Deposits already paid will be deducted from the cancellation costs.

Covid regulation

Cancellation fees do not apply in the event of an official ban on events. A flat-rate processing fee of € 500.00 will be charged.

If the event takes place as planned – even with a reduced number of people – and the organizer nevertheless decides not to hold it, the regular cancellation conditions apply.

Liability

The organizer is liable for all damage to the building or inventory that occurs during the event. The lessor is entitled to repair damage himself and to charge the costs to the organizer.

General information

  • Stage, technical and seating plans must be submitted at least 3 weeks before the start of the event.
  • All catering services are provided exclusively by the landlord.
  • External service providers require the written approval of Konzil Restaurant & Event GmbH.
  • If there are more than 200 people in the Oberer Konzilsaal, the building services, fire department and paramedics must be present.
  • Open flames, sparklers and smoke machines are prohibited in all halls. Candles on covered tables are permitted.

Number of persons and invoicing

  • A deposit of € 500.00 is due upon booking. Without this the booking is not binding.
  • A deposit of ¾ of the expected final invoice is due 3 weeks before the start of the event.
  • The number of persons registered 10 days before the event serves as the basis for calculation.
  • If the actual number of guests exceeds this number, the actual number will be charged.
  • The final invoice is payable without deduction within 10 days of the invoice date.
